1. Information We Collect

We collect information you provide directly (business details, contact information, payment details) and information generated through your use of Phonecaller AI, including call recordings, transcripts, and booking data captured on your behalf.

  • Account data: name, email, phone number, business name and address
  • Call data: recordings, transcripts, and call outcome metadata
  • Payment data: processed securely by our payment provider - we never store full card numbers
  • Usage data: pages visited, features used, device and browser information

2. How We Use Your Information

We use collected information to provide, maintain, and improve the Phonecaller AI service, including configuring your AI receptionist, processing bookings, generating analytics, and communicating with you about your account.

We do not sell your personal data or your callers’ data to third parties.

3. Caller Data & Your Customers

As a business using Phonecaller AI, you are the data controller for information collected from your callers during AI-handled calls. Phonecaller AI acts as a data processor on your behalf, in accordance with UK GDPR Article 28.

You are responsible for notifying your callers that calls may be recorded and processed by an AI system, in line with applicable telecommunications and privacy law.

4. Sharing & Third Parties

We share data only with sub-processors necessary to deliver the service - including cloud hosting, telephony, and payment providers - each bound by data protection agreements consistent with UK GDPR.

  • Cloud infrastructure providers (data hosted in UK/EU regions)
  • Telephony and AI voice carriers for call routing and handling
  • Payment processing for subscription billing
  • Calendar providers you choose to connect (e.g. Google Calendar)

5. Data Retention

Call recordings and transcripts are retained for 90 days from the date of the call. Account and billing records are retained for 6 years to meet UK financial record-keeping obligations.

6. Your Rights

Under UK GDPR, you have the right to access, correct, export, or request deletion of your personal data. You may exercise these rights at any time by contacting our privacy team.

7. Security

We employ industry-standard encryption in transit and at rest, role-based access controls, and regular security reviews to protect your data and your callers’ data.
